Cash Control Officer

The Town Clerk is responsible for numerous duties relating to billing, and the collection and disbursement of funds. All incoming cash is recorded and disbursed to State, County and local fiscal officers. The Town Clerk also contributes to the management of petty cash, general purchasing, and assisting with State and internal audits.

E-Z Tag Pass Available

The Town Clerk’s office is an authorized retailer of the New York State Thruway Authority’s E-ZPass.  The E-ZPass tag costs $25.00 and is for passenger cars only (2-axle, personal use).

Tags must be registered with E-ZPass to be activated by clicking here or  calling 1-800-697-1554.  Once registered, tags are typically available next day for use and the $25.00 purchase price is applied to the account as a toll balance.

Customers may not return tags to the Town of Pendleton.

Filing Officer

We maintain the Towns adoption of Town Ordinances and Town Laws, Oaths of Office, petitions, proof of publications, annual budgets, subpoena and court actions, zoning ordinances and maps.

Genealogy Requests

  1. Genealogy record requests are “For Genealogical Purposes Only”.
  2. Records requested must be at least 50 years old/75 years old for birth. NO information shall be released unless the person to whom the record relates is known to be deceased (both parties of a marriage must be deceased).
  3. Time periods to apply for information are waived for direct line descendants. A direct descendant is a person in the direct line of the descent (i.e. child, grandchild, great-grandchild) of the person whose record is being requested. He/She must provide the following:
    1. Proof of their relationship to the person whose record is being requested.
    2. Proof of the death of the person whose birth certificate is being requested.
    3. Proof of the death of both spouses whose marriage certificate is being requested.
  4. “General Information and Application for Genealogical Services” form* must be completed and submitted to the Town Clerk/Registrar of Vital Statistics to be processed.
  5. An $11.00 local processing fee will be charged for each record type of record requested, and it includes a three year standard search (fees vary with length and amount requested).
  6. Cash, check, or credit/debit card are all forms of acceptable payments.
  7. A copy of the original is given, not a certified copy, to the requester.
  8. If no record is on file, then a “No Record Report” is issued and the fee is not refunded.

Hunting Fishing

Hunting Licenses go on sale mid August. The license year runs from October 1 through September 30.

Fishing licenses are valid for one year from date of purchase.

Licensing Officer

We issue State licenses/permits, which include marriage, dog, hunting, fishing, games of chance, bingo and handicapped permits.

Marriage License

A couple intending to marry in the State of New York must complete an application for a marriage license. Both must sign the marriage license in the presence of the Town Clerk. There is a 24-hour waiting period from the exact time the license was issued. The license is valid for 60 days. The cost is $40.00.  Marriage license fee is waived for active duty members of the United States Armed Forces.

Proof of identity and age is required.

Proof of identity may be one of the following:

  • Picture Driver’s License
  • DMV issued Non-Driver’s License
  • Valid Passport
  • Employment Photo ID
  • Immigration Record

Proof of age may be one of the following:

  • Birth Certificate (non US born must provide a certified translated birth certificate)
  • Baptismal Record
  • Valid Passport
  • Naturalization Record
  • Census Record

Information regarding previous marriages (divorce/death) must also be furnished in the application for a marriage license.

Marriage Officiant One-Day License

New York State Domestic Relations Law enables individuals to apply for permission to be designated as a One- Day Marriage Officiant in order to solemnize a particular couple’s marriage. 

A One-Day Marriage Officiant License will only be issued if the marriage couple has a current marriage license issued from the Pendleton Town Clerk’s Office. 

Applications can be submitted in person at the Town Clerk’s Office or by mailing the information listed below to:

You must submit the following:

  1. Completed Marriage Officiant One-Day License
  2. Proof of Identity (ex. copy of Driver’s License)
  3. Check for $25.00 payable to “Town of Pendleton”

The application and fee must be received at least thirty days prior to the date of the ceremony.

Parking Permits for Persons with Severe Disabilities

Applications for temporary or permanent parking permits for persons with severe disabilities are available in the Town Clerk’s office for Town residents only.

Permanent parking permits must be renewed every five years.  Please complete this Renewal Form to renew by mail.  You will be asked to destroy the expired permit once the new permit is received.

Recording Secretary

The Town Clerk is responsible for the minute books, the official record of Town government. The records are retained permanently for legal and historical purposes. Minutes from the Town Board Meetings are available on the website approximately 2 weeks after the meeting. Hard copies are also available approximately 2 weeks after the meeting in the Town Clerk’s Office.

Records Management Officer

Additional records we are responsible for include active files, storage and disposition of inactive records. We are also Administrator’s of the Freedom Of Information Law, which guarantees your right to know the workings of the government. Anyone requesting information shall do so on a form, which can be obtained in the Town Clerk’s office or downloaded here. (Click Here) The fee charged for copies is $.25 per page.

Registrar of Vital Statistics

The Town Clerk is usually appointed keeper of all birth and death records within the community, issuing birth and death certificates, burial permits, as well as conducting genealogical searches.
